Cortana Privacy Policy

This policy describes Cortana, Brian’s privately operated assistant. It covers connected Google accounts and information used to provide the assistant’s enabled features.

Information accessed and used

Depending on permissions granted and features enabled, Cortana may access account identity, email headers and message content, labels and drafts; calendar lists, events and reminder settings; and task lists and tasks. Information is used to answer requests, prepare or perform authorized actions and show their results. Cortana does not access every available field simply because a Google permission permits it.

Storage and security

Authorized information may be processed on Brian’s Mac and private cloud infrastructure. Conversation history, selected knowledge, action receipts and approval records may be retained for continuity, verification and recovery. Access is restricted; credentials are held separately from the frontend. Not every derived display record is separately application-encrypted.

AI providers and other disclosures

When authorized for a feature, relevant bounded information may be sent to Anthropic or OpenAI to fulfill Brian’s request. Credentials and excluded sources must not enter those requests. Cortana does not sell Google user data, use it for advertising, or use it to train generalized AI models. Infrastructure and AI providers may process information as needed to deliver the requested service under their applicable terms and configured retention settings. Disclosures may also be made when legally required.

Google API Limited Use

Cortana’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Retention, revocation and deletion

Information is retained for the enabled feature, ongoing conversation and documented operational evidence or recovery needs. There is no blanket automatic deletion interval. Brian may disconnect an account or revoke access through Google Account connections. Revocation prevents further authorized retrieval but does not itself erase records already retained. Contact the operator to request deletion of retained information; the request includes review of associated history, receipts and recovery copies. Any retained exceptions and recovery-copy limitations will be explained.
